Appointments
All appointments are confirmed by written communication via WhatsApp or email. By confirming an appointment you agree to this cancellation policy.
Cancellation by you — self-pay clients
We understand that plans change. We ask for as much notice as possible if you cannot attend.
More than 24 hours' notice: no charge. We will rearrange at no cost. Less than 24 hours' notice: 50% of the session fee will be charged.
Non-attendance without notice: the full session fee will be charged.

Cancellation by you — case management and third-party funded clients
More than 48 hours' notice: no charge. Between 24 and 48 hours' notice: 50% of the session fee will be invoiced to the funder. Less than 24 hours' notice or non-attendance without notice: the full session fee will be invoiced to the funder. The case manager will be notified by email on the same day.
Cancellation by The Gym Physio
In the unlikely event that we need to cancel your appointment, we will give as much notice as possible and rearrange at a time convenient to you at no additional cost.
Late arrival
If you arrive more than 15 minutes late we may need to shorten or reschedule your session to avoid affecting other clients. The full session fee will still apply.
Repeated cancellations
We reserve the right to discharge clients from our list if appointments are repeatedly cancelled at short notice or non-attendance becomes a pattern that prevents effective treatment.
